How to prepare  for  a Project Start-Up Meeting

The biggest mistake entrepreneurs and project managers make: They start building a team only after the project got sold. How about having a planning team?  When you have a big idea you want to put into the reality you need a project plan. and you want to create a plan together with experts, potential suppliers, and the client. In this mini agenda, you find a framework that works well for any meeting, but the agenda is designed especially for meetings that you do at the very beginning. In-person would be great but you may consider sending some packages to the participants up front and have it online life.

1. Plan your Meeting

You may use a checklist for software to make sure you do not miss any point and save energy by not overthinking but being effective and focusing on the important messages and goals you want to achieve.

We love tools like Trello, Monday, and Slack to create a checklist and use Kajabi to save the recordings for all members so that we can watch the replay anytime and read the Action Items.

2. Schedule your Meeting

We all hate long boring meetings and time is a limited resource. A strict time schedule is so important.  Being mindful of the time of all participants means we need to make sure to keep it brief and yet effective and as long as needed so that we get the desired results, as what you do not measure you cannot improve.

3. Plan Activities

if you have attended one of our workshops- meetings. you know we love to engage everyone with activities.

4. Plan the Communication.

How do you start and finish a meeting? What do you say? How do you lead a meeting confidently?

The way you talk as a Leader is so important but more important is that you ask the right questions so that you engage the participants,

In our Project Leader Business class Program, we teach in detail all the techniques you need.

5. Ensure Implementation

How to make sure that the team is motivated and the experts are ready to deliver results?

Takeaway:

The better you prepare your meeting -the more likely you are to get a great outcome like:

  • support from your stakeholder,
  • a motivated team,
  • commitment to your timeline
  • resources like experts for your project
  • financing for your big idea
